Trace Basements, Trace Remedial Building Services – COVID-19 Actions

This letter confirms the steps we have identified to safeguard staff, colleagues and clients and the practices we are adopting to facilitate our works in light of Covid-19.

Construction Site Specific (working as a sub-contractor to a main contractor):

  1. Adopted Covid specific construction site risk assessment template produced by our retained Health and Safety Consultants, produced and updated in-line with evolving government guidelines.
  2. Risk assessment consultation/review with staff to obtain feedback from those with best understanding of practical implementation.
  3. Implementation by single worker, or IF necessary use of fixed teams (partnering).
  4. All reasonable steps taken to maintain 2m distancing.
  5. Staff trained in hygiene practices (hand washing, if coughing, cleaning etc).
  6. Advising staff to follow government guidance regarding self-isolation.
  7. Assessment of staff clinical vulnerability, including family members.
  8. Planning minimum number of site staff to operate safely and effectively on sites.
  9. Minimising use of shared equipment (equipment allocation to vans/teams).
  10. Shared tool/equipment cleaning procedure.
  11. Keeping in touch with off-site workers regarding welfare and wellbeing.
  12. Van cleaning rota / procedure.
  13. Greater use of remote inspection – photos or Facetime.
  14. Contracts Manager inspections/visits procedure – distancing & hygiene.
  15. Government advice re PPE limitations for covid protection.
  16. Dealing with accidents training.
  17. Issued keyring tools for door opening / button pressing.
  18. Provision of cleaning materials.
  19. Ongoing clear communication/reminders regarding all of the above

Surveys and Working in client homes:

  1. All reasonable steps taken to maintain 2m distancing.
  2. Communicating with households prior to any visit to ask that 2m distancing be maintained and to discuss how works will be implemented to minimise risk for all parties.  Information discussed again upon arrival.
  3. Only absolutely necessary participants to be present during surveys, 2m distancing to be observed, no papers/pens etc., to be passed during visits, meetings/discussions held in large well ventilated rooms or outside.
  4. No works undertaken in households which are self-isolating, or where individuals have been advised to shield.
  5. Where working in the homes of clinically vulnerable who have not been advised to shield, prior arrangements made to avoid face to face contact and strict hygiene practices to be adhered to.
  6. Staff trained in hygiene practices (hand washing, if coughing, cleaning etc).
  7. Adopted Covid specific client home risk assessment template produced by our retained Health and Safety Consultants, produced and updated in-line with evolving government guidelines.
  8. Risk assessment consultation/review with staff to obtain feedback from those with best understanding of practical implementation.
  9. Waste materials and belongings removed from site each day.
  10. Materials delivery to client homes by attending Trace staff only.
  11. Use of fixed individuals/teams on work in client homes as far as practical (not every individual can perform every trade required on a project).
  12. Processes employed to remove direct contact when passing tools and materials etc.
  13. Ongoing clear communication/reminders regarding all of the above.

Trace Office specific:

  1. Adopted Covid specific office risk assessment template produced by our retained Health and Safety Consultants, produced and updated in-line with evolving government guidelines.
  2. Risk assessment consultation/review with staff
  3. Shared site equipment/tools cleaning procedure on drop off / collection at office
  4. Staggered arrivals (site staff attending office in mornings) or go straight to site.
  5. Surface cleaning rota.
  6. Hand washing frequency & technique signage
  7. Staff trained in hygiene practices (hand washing, if coughing, cleaning etc).
  8. Maintaining 2m distancing at entry and exit points signage.
  9. Communal area occupation (W.C.’s, Kitchens) signage to manage social distancing.
  10. Advising office staff to follow government guidance regarding self-isolation.
  11. Assessment of office staff clinical vulnerability, including family members.
  12. Shared equipment central storage and cleaning procedure.
  13. Office staff working from home wherever possible and use of communication IT to stay connected.
  14. Keeping in touch with off-site workers regarding welfare and wellbeing.
  15. Government advice re PPE limitations for covid protection.
  16. Dealing with accidents training.
  17. Issued keyring tools for door opening / button pressing.
  18. Provision of hand sanitizer at entry/exit points.
  19. Monitoring of staff wellbeing where remote working.
  20. All reasonable steps taken to maintain 2m distancing in the office, and everything practical such as screening where not.
  21. Markings, one way flow entry and exit.
  22. Meetings undertaken in large areas where 2m distancing practical, small meeting room for individual use only.
  23. Issued keyring tools for door opening / button pressing.
  24. Hand sanitizer at entry and exit points.
  25. Advice produced for visitors issued prior to an upon arrival, entrance signage specific to visitors.
  26. Procedure for delivery taking / cleaning.
  27. Ongoing reminders regarding all of the above.
